Privacy Policy

This policy describes how All Heart handles information connected with this website, tournament registrations, inquiries, and the optional SMS program. Contact jared@weareallheart.com with privacy questions.

1. Information collected

Depending on the service you use, you may provide parent/guardian or coach names, email addresses, mobile numbers, city/town, team details, player names, dates of birth, grade, shirt size, emergency contacts, and teammate requests. Registration records include event/division selections, amounts, payment status and references, accepted waiver versions, signatures, and related acceptance records such as timestamps and IP addresses. If you subscribe to SMS, the program may collect your mobile number, signup source, consent and opt-out records, message content, and messaging delivery/interaction information. You may also provide information when contacting us. Please do not send payment-card details or unnecessary sensitive information by email or text.

2. How information is obtained and used

Information is provided through registration and roster forms, approved SMS signup methods, communications, and service providers supporting those activities. We use it to manage registrations and rosters, coordinate events, process payments, respond to questions, maintain safety and consent records, protect the service, and send marketing communications where the required permission has been obtained. Contact information supplied for registration is not automatically permission for promotional SMS.

3. Website operation and payment processing

Website hosting and related services may process technical information such as IP addresses, browser/device information, referring pages, pages visited, and request logs to deliver, secure, and understand use of the website. Cookies or similar browser storage may support functions such as account sessions or shopping-cart preferences. Browser settings can manage storage, but disabling it may affect functionality. Payments through the registration system are processed by Square; the registration system stores transaction references and payment status rather than your full payment-card number. Square's handling of payment information is also governed by its own privacy policy.

4. Service providers and operational disclosures

Information may be processed by providers supporting website hosting, data storage, payments, email, and messaging, including SimpleTexting for the SMS program. Relevant registration information may be available to authorized staff, coaches, and event personnel who need it to administer participation and safety. Information may also be disclosed when required by law or as necessary to protect legal rights and safety. These operational uses do not authorize sponsors or other parties to market to SMS subscribers using their mobile opt-in data.

6. Children and youth participants

All Heart serves youth athletes, but registration and SMS enrollment are intended to be handled by adults. We collect player information supplied by parents, guardians, or authorized adults to administer participation. Children under 13 should not submit personal information to us on their own, and our marketing SMS program is for adults age 18 and older. A parent or guardian who has questions about their child's information, believes a child supplied information directly without appropriate permission, or wants to request access, correction, or deletion should contact jared@weareallheart.com. Photo/video permissions are handled through the applicable event release and are not expanded by this policy.

7. Retention, security, and requests

We retain information as reasonably needed to provide services, manage safety and records, meet legal obligations, and resolve disputes. Limited consent and opt-out records may be retained to document permission and honor requests not to receive messages. We use access controls and reasonable safeguards, but no system or transmission is completely secure. You can contact jared@weareallheart.com to request access, correction, or deletion of your information, or to raise a privacy concern. We may need to verify your identity or authority, and some records may need to be retained where permitted or required by law. Additional privacy rights may apply depending on your location. Email marketing preferences can be managed through the unsubscribe link in those emails; SMS preferences are managed separately.
